We all know keeping track of daily tasks and projects can be frustrating and time consuming; this is where Task Lists come in to play.
In SharePoint 2013, you can create a Task List to keep track of all of your projects quickly and allow all team members to easily view any progress.
Team members involved in the given tasks can update their own progress to allow other members and management to quickly view any completed activity without the need of constant meetings.
List tasks can be customized to suit the needs of you and your project – you can add due dates, prioritize items, and add columns for feedback and data collection.
There are two types of Task Lists that can be used. One is a basic Task List and the other is a Project Task List. Each list will show you the task progress, who the tasks are allocated to, priority of tasks and the current statues.
Here we will take a look at basic task lists.
The basic Task Lists are suited to simple task assignments allocated to each member, where they can update their progress by percentage, e.g 25% or 50% completed. One thing to bear in mind when using this kind of system to monitor tasks is to establish a clear definition of what exactly 50% complete is to all team members and to set standard percentage increments.
Here’s how to add a Task List in SharePoint:
First, navigate to site content.
Click on Add an App.
Next click on the Tasks template and fill in a name for your task list. Here you can also add a description in ‘Advanced Options’ on Add Task if you wish.
Once the Task list has been created, you can then go on to create a new task in the task list.
Creating a new task:
Click on ‘New Task’ in the task list.
Fill in the new task details, giving it a name, due date and who it is assigned to, etc.
Now your new task is visible to all relevant team members.
How to add a Task in the Timeline:
A handy little feature in SharePoint 2013 is the ability to view tasks in the timeline, making it easy and quick to see all tasks. Users can also color code each task to help keep them organized.
Select the task and click on (…)
In the preview window that opens, click on ‘Add to Timeline.’
Now that task will show on your timeline view.
When you select the task in the timeline you can see an option called ‘Timeline’ where you can see options to change the font and color, edit date range or remove any completed tasks from the timeline.
